Attendance (External HRMS)

The Attendance section within the Employee Profile under the External HRMS tab displays read-only attendance plan and transaction records for an Employee as received from the external HRMS system. This information is provided for reference purposes only and cannot be edited within LightWork.

  1. Attendance Plans
    The Plans card displays the attendance plans assigned to an Employee.

  2. Displayed Table Fields
    Depending on system configuration, the table may include the following fields:

    • Description

    • ID

    • Accrued

    • Taken

    • Carryover

    • Available Balance

    • As Of Date

    • Pending Approval

    • Approved/Applied

    • Estimated Available

  3. How to Read the Attendance Plan details
    Attendance balances are calculated and displayed as follows:

    1. Available Balance

      • The Carryover amount is added to the Accrued amount.

      • The Taken amount is then subtracted.

      • This calculation reflects the Available balance as of the As Of Date.

    2. Estimated Available Balance

      • Under the Time Off Request header, additional values may appear:

        • Pending Approval: Time off requests 'Submitted' but not yet 'Approved'.

        • Approved: Time off requests 'Approved' and 'Applied' to the Timesheet but not yet exported to the external HRMS.

      • Subtracting these values from the Available Balance results in the Estimated Available hours.

      Note: The Estimated Available balance represents the potential remaining time off if all pending and approved requests are applied within the same plan year.
